Terms of Service

1. Service provider

These Terms (Regulations) govern the use of the PRAVIS website and distance contracts for translation and related services concluded with: HANNA VELYKA PRAVIS, trade name PRAVIS, NIP 1132935521, REGON 545376200, address: ul. Stanisława Leszczyńskiego 4, lok. 25, 50-078 Wrocław, Poland, email: office.pravis@gmail.com.

PRAVIS is a translation bureau. We are not a law firm and do not provide legal advice. These Terms are written for clarity under Polish and EU consumer / e-commerce rules; they are not a substitute for legal counsel.

2. Definitions

“Client” — a natural person or organisation ordering a service.

“Consumer” — a natural person concluding a contract not directly related to their business.

“Service” — certified translation with bureau seal, apostille support, power-of-attorney translation, visa document packages and related services described on the website.

“Order” — a request accepted by us after quote and confirmation (including payment where required).

“Website” — the PRAVIS online service under the domain used by us.

3. Scope of services

We provide professional translation and certification with the PRAVIS bureau seal and related support (including guidance on when a sworn / przysięgły translation may be required instead). Acceptance of a bureau-sealed translation by a particular school, clinic, authority or company is never guaranteed — requirements vary by country and recipient.

We do not promise visa, school admission, medical or rental outcomes.

4. Ordering process

1) The Client sends documents and information (form, email or messenger). 2) We review the materials and send a quote (price, format recommendation, timeline). 3) The Client accepts the quote and, where applicable, pays the fee. 4) We perform the Service and deliver the result digitally and/or by mail / courier as agreed.

A binding contract is formed when we confirm acceptance of the Order after the Client accepts the quote (and payment clears, if payment was a condition).

5. Client obligations

The Client warrants that they are entitled to provide the documents and personal data contained in them; that files are legible; and that the stated purpose / country is accurate.

The Client must not upload unlawful content. The Client is responsible for checking the receiving institution’s formal requirements (including whether a sworn translator is mandatory).

6. Prices and payment (Stripe)

Prices are quoted individually based on volume, language pair, urgency and complexity. Unless stated otherwise, prices are in PLN or another currency indicated in the quote, and include or exclude VAT as stated in the quote / invoice under Polish tax rules.

Online payments are processed by Stripe, Inc. / Stripe Payments Europe, Limited (“Stripe”). By paying online the Client accepts Stripe’s terms for the payment method used. We do not store full card numbers.

Bank transfer or other methods may be offered in the quote. Work may start after cleared funds unless we agree otherwise in writing (email is enough).

7. Delivery and timelines

Indicative timelines in marketing or quotes are estimates. Binding deadlines are those confirmed for a specific Order. Delivery may be: certified PDF, paper original by post / courier from Wrocław, or both — as agreed.

Delays caused by incomplete files, unclear scans, Client revisions, third-party authorities, postal services or force majeure are not our fault.

8. Subcontractors

We may perform the Service using translators, reviewers and other contractors engaged under invoices (faktury) or service agreements. They work under our instructions and confidentiality obligations. Engagement of subcontractors does not release us from responsibility toward the Client for the Service, except where the law provides otherwise.

9. AI tools for document analysis

We may use AI tools — including Anthropic (Claude), OpenAI (ChatGPT), Google (Gemini) — to analyse documents, assist structuring, support quality checks or accelerate drafting. Final professional responsibility for the delivered translation rests with PRAVIS / the assigned translator under the Order.

This AI use is disclosed in these Terms and in the Privacy Policy; it is not presented as a marketing feature on the public website.

10. Confidentiality and personal data

We treat Client documents as confidential and process personal data as described in the Privacy Policy and Cookie Policy. The Client should avoid sending unnecessary sensitive data.

11. Intellectual property

Until full payment, we may withhold final files. After payment, the Client receives a licence to use the translation for the stated purpose. We retain the right to keep internal working copies as needed for quality, complaints and legal obligations.

12. Right of withdrawal (consumers)

Consumers in the EU/EEA generally have 14 days to withdraw from a distance contract. However, the right of withdrawal does not apply (or is lost) where the Client has expressly requested that we begin performing a customised service before the withdrawal period ends and acknowledged that they will lose the right of withdrawal once performance has begun — which typically applies to made-to-order translations once work has started (Art. 38 of the Polish Consumer Rights Act / corresponding EU rules).

If you are a consumer and wish to withdraw where the right still applies, email us before work starts.

13. Complaints

Complaints about the Service should be sent to office.pravis@gmail.com with the Order reference and a description of the issue. We will respond within 14 days. If a defect in the translation is substantiated, we will correct it free of charge within a reasonable time or propose another remedy.

Consumers may also use EU ODR information or approaches to the Trade Inspection / consumer ombudsman under Polish law.

14. Liability

We perform the Service with professional care. To the fullest extent permitted by mandatory law, we are not liable for: decisions of schools, clinics, rental companies, embassies or authorities; Client-provided errors in source documents; or indirect / consequential loss.

For Consumers, liability limitations apply only as far as Polish and EU mandatory law allow. For non-consumers, our total liability for a given Order is limited to the net fee paid for that Order, except for intentional misconduct or other liability that cannot be limited by law.

15. Governing law and disputes

These Terms are governed by the law of Poland. Courts competent under Polish law apply, without prejudice to mandatory consumer jurisdiction rules in the Client’s country of residence in the EU.

16. Final provisions

If any provision is invalid, the remaining provisions continue. We may update these Terms; the version published on the website on the date of the Order applies to that Order unless a newer version is expressly agreed.
