Confidentiality comes first
Medical documents are sensitive, and we treat them that way. Files are shared through our order form, seen only by the translator and reviewer assigned to your order, and are not published or shared with third parties. If your clinic or employer requires a signed confidentiality statement from the translator, tell us when you order and we'll arrange it.

Most hospitals and clinics abroad accept a certified translation with the translator's statement of accuracy and stamp. Insurance companies sometimes require a sworn translation, particularly for claims or reimbursement cases — if you know this in advance, mention it in your order so we prepare the correct type from the start rather than needing a second pass.
How the process works
Upload legible scans or photos of the originals. Handwritten notes can usually be translated if they're legible; if a page is unclear, we'll ask you or, with your permission, contact the issuing clinic for clarification rather than guessing. We quote price and delivery time upfront, translate and check the document, then deliver a certified digital PDF — with a signed paper copy by post if you need one for the receiving institution's records.
Turnaround, including urgent cases
A short document like a vaccination booklet or a single lab report is usually ready within 1–2 business days. Longer medical histories take more time depending on length. If you have an upcoming appointment or an insurance deadline, tell us the date when you order — we'll confirm whether a faster turnaround is possible and what it costs, before you commit.
Frequently asked questions
Is my medical information kept confidential?
Yes. Your documents are only accessed by the translator and reviewer working on your order and are never shared with third parties or used for any purpose beyond your translation. If your clinic requires a formal confidentiality statement from the translator, we can provide one on request.
Do you translate handwritten doctor's notes?
Usually, yes, as long as the handwriting is legible in the scan. If a word or section is unclear, we'll flag it rather than guess, and ask you or — with your consent — the issuing clinic to confirm it.
Will my insurance company accept this translation?
Most insurers accept a certified translation, but some require a sworn translation for claims. Let us know which type your insurer has requested, and we'll prepare accordingly. We're translators, not the insurer, so the final acceptance decision always rests with them.
Can you also translate the vaccination booklet for my child's pediatrician abroad?
Yes — this is one of our most common requests. We keep the layout close to the original so the pediatrician can cross-check dates and vaccine names quickly.
