Certified document translation for the Netherlands
Submitting documents to a school, clinic, employer or organisation in Amsterdam? PRAVIS prepares accurate certified translations with a bureau seal and mails paper copies from Wrocław. That format is suitable for many everyday uses, but the IND, a court or another authority may require a translation by a beëdigde vertaler — a sworn translator registered in the relevant Dutch register. We never describe our bureau seal as sworn certification, and we tell you plainly when the stricter route is the appropriate one.
Documents translated for the Netherlands
For education, we translate school certificates, diplomas, degree supplements, grade transcripts, enrolment letters, references and records needed when placing a child in a school in Amsterdam or another Dutch city. Medical work includes discharge summaries, test results, doctors’ opinions, prescriptions, treatment histories and vaccination records. These translations give a school, doctor, insurer or employer a reliable way to understand a foreign-language record. The recipient, however, decides whether a bureau seal is enough or whether another certification level is mandatory.
We also handle birth, marriage and divorce certificates, criminal-record certificates, employment and income evidence, bank letters, invitation letters, relevant passport pages, and supporting material for visa or immigration files. For driving-related matters, clients send licences, registry extracts, and statements showing issue dates, categories or driving history. A translation makes the content accessible; it does not mean the RDW, CBR, a municipality or another Dutch body will exchange or recognise the underlying document. The best first step is to send a clear scan of every relevant page, including stamps, signatures and the reverse side, and tell us exactly who will receive it. If the Amsterdam school, clinic, gemeente, employer, consulate or caseworker supplied written instructions, include them. We can then distinguish an everyday request for a clear, certified rendering from a formal process requiring a beëdigde vertaler, an original, a legalised copy or an apostille. This avoids paying for a format that does not match the recipient’s rules.
Bureau seal vs beëdigde vertaler
PRAVIS’s standard service is a certified translation carrying the bureau seal and an accuracy statement. The seal identifies the bureau, the language pair and responsibility for the completed work. It is a practical format for many private companies, employers, schools, training providers, clinics, insurers and other everyday recipients. It is not the same as a translation produced by a beëdigde vertaler: a sworn translator authorised to certify translations within the Dutch system and normally listed in the Register beëdigde tolken en vertalers, commonly abbreviated as the Rbtv.
The distinction is especially important for the Immigration and Naturalisation Service, or IND. In an immigration, residence or naturalisation process, the IND may require foreign official documents, legalisation and a translation into Dutch, English, French or German in an acceptable official form. The details depend on the issuing country, the type of record and the application route. A court, civil-law notary, gemeente or other public authority can also apply strict rules. A PRAVIS bureau seal must not be presented as a substitute when the instruction expressly asks for a beëdigde vertaling or a sworn translator.

If a beëdigde vertaler is required, we will flag it before payment and recommend the correct route instead of selling a document likely to be rejected. We also do not promise that a translation will secure IND approval, a visa or residence status. A precise translation supports the file, but the competent authority decides the application based on its rules and the facts of the case.

The Netherlands and many countries from which PRAVIS clients send documents are parties to the Hague Apostille Convention. An apostille authenticates the signature, the capacity of the signer and, where relevant, the seal on a public document for international use. It does not certify that the document’s contents are true, does not replace translation and is not issued by PRAVIS. As a general rule, the competent authority in the country where the public document originated issues the apostille.
For example, a Polish civil-status record presented to a Dutch institution may require an apostille issued in Poland, while a Dutch public document intended for Poland or another Convention state may require an apostille from the competent Dutch authority. There is an important qualification within the European Union: Regulation (EU) 2016/1191 simplifies circulation of certain public documents between member states, so an apostille may be unnecessary for a covered record. That is not a universal exemption. The document category, countries involved and purpose of submission all matter, and a multilingual standard form does not automatically resolve every translation question.
A safe working order is to ask the Dutch recipient whether it needs the original, a certified copy, legalisation or apostille, and a sworn translation. Obtain the apostille first when it is required, then have the document and apostille certificate translated together. If translation happens before the apostille is attached, a second order may be needed for the additional page. We can help you read the instruction and prepare the translation, but the final requirement belongs to the IND, gemeente, school, court, medical provider or other receiving body.
How the process works from Wrocław
The job starts online, while physical documents are dispatched from PRAVIS’s Wrocław HQ. Upload clear scans or photographs and state the language pair, the purpose — school, medical, driving, visa or another use — and the specific recipient in the Netherlands. For an Amsterdam submission, name the school, clinic, gemeente, employer or department that supplied the request. We review the page count, legibility, seals and signatures, then quote the price, expected production time and recommended certification route. If a requirement appears incompatible with a bureau seal, we raise that before work begins.
After confirmation, the translator renders the text, annotations, stamps and other material features. The completed file is checked, and PRAVIS applies its bureau seal to the agreed product. An electronic copy can be supplied for review or for recipients that accept digital delivery. We send the certified paper copy from Wrocław by post or courier to Amsterdam, elsewhere in the Netherlands or an international address. Delivery speed depends on the carrier and destination, so allow time for both production and transit when you have an appointment or filing deadline.
If the recipient requires a beëdigde vertaler, an apostille, inspection of an original or a particular method of binding pages, establish that before production. Wording in a cover letter cannot transform a bureau-sealed translation into a Dutch sworn translation. Nor can PRAVIS guarantee a decision by the IND, a consulate, school, RDW, CBR or any other organisation.
